Internal Systems Integration Overview

For many modern businesses, internal data systems are large repositories of sensitive personally identifiable information (PII). To process growing volumes of Data Subject Requests (DSR), companies must interact with every data system containing PII the organization uses, regardless of the storage medium.

Internal data must be handled intentionally because it is:

  • Highly sensitive: The data is most critical to operating your business.
  • Delicate: Altering certain data may have downstream impacts.
  • Fluid: Internal data footprint can change rapidly.

To unlock DSR automation in such systems, DataGrail offers several integration methods to facilitate access, deletion, and anonymization of data. This article will help you determine the optimal approach for integrating each system.

Request Manager Agent

The Request Manager Agent is a prebuilt, containerized service can be installed in your network to handle the communication between DataGrail and your internal systems via a REST API interface.

The Agent allows you to define the desired business logic in your systems while maintaining a standardized interface with the DataGrail application. This approach ensures the separation of concerns between your internal data operations and the privacy operations of fulfilling DSRs in DataGrail.

Most companies will find that the Request Manager Agent suits their use cases and choose to proceed with this option due to its ease of configuration and deployment.

Internal Systems API

An alternative method to the Request Manager Agent is implementing a REST API based on DataGrail's specifications. The API specification provides the interface requirements for DataGrail’s client to communicate with your server while giving you complete control over the request once it hits your network.

Implementing DataGrail’s Internal Systems Integration API may be beneficial where complex orchestration or message queueing is required.

Direct Contact

Suppose programmatic interaction with a system is not a viable solution. In that case, DataGrail supports implementing a workflow within a communication channel to alert a system owner or administrator to take action in their respective system. The Direct Contact workflow provides the systems’ owner with a DataGrail-hosted form to complete in response to a DSR with built-in audit logging and reminder notifications.

The Direct Contact workflow is optimal for scenarios characterized by low DSR volume or when additional customization is preferred to fulfill privacy requests.
