Bulk Actions

The Data Subject Requests page supports bulk actions, allowing you to take action on multiple privacy requests at once without opening each ticket individually.

To use any bulk action, select the checkboxes next to the relevant requests on the Data Subject Requests page. Available actions appear at the top of the page based on the selected requests' states.

Process Requests

You can process multiple requests in the Pending Action state at once, eliminating the need to open and transition each ticket individually.

  1. On the Data Subject Requests page, select the checkboxes next to the Pending Action requests you want to process.
  2. Select Process Request(s) from the bulk actions at the top of the page.
  3. Confirm the action. If any selected requests cannot be transitioned, you will be notified how many will be skipped — the remaining eligible requests will still be processed.
Default Email Template

Bulk processing uses the default email template for all selected requests. If you need to customize the email message for a specific request, use the individual Pending Action workflow instead.

Mark as Verified

You can bulk verify requests that are in the Verifying Email state if you have verified the Data Subjects outside of DataGrail.

  1. On the Data Subject Requests page, select the checkboxes next to the requests in the Verifying Email state.
  2. Select Mark as Verified from the bulk actions at the top of the page.

Close Requests

You can bulk close requests in the following Active states:

  • Active: Wizard
  • Active: Extracting Identifiers
  • Active: Extracting Personal Data
  • Active: Pending Action
  1. On the Data Subject Requests page, select the checkboxes next to the requests you want to close.
  2. Select Close Request from the bulk actions at the top of the page.
  3. Choose a Close Reason from the dropdown. The reason you choose does not impact how the request is closed.
  4. Select Close Request to close without notifying the Data Subject.
Customizing Close Emails

Bulk close does not support composing a custom email per request. To notify the Data Subject with a customized message, close requests individually using the Close a Request action.
