Accessing the Resulting Download Link for an Access/Access Categories Privacy Request

After a data subject submits an Access or Access Categories request via either the privacy request form, email forward, or toll free number and that request has been processed through the data retrieval phase, a request moves into a Pending Action state where you able to review all found data related to this request.

Once these results are reviewed, you are able to move this request forward by clicking the Process Request button. From there you can approve the results email that will send to the data subject requester and decide to either Send Now or Send in 7 Days.

Once this Access/Access Category results email is sent to the data subject requester, this download link will be accessible until the initial click-to-download or 7 calendar days from the date it was sent (whichever occurs first). All privacy requests with active results links will be emailed to DataGrail Admin Users as apart of their daily email update with the results reflecting a Processed: Notifying Requester state.

When a data subject requester attempts to click the download link available within the Access/Access Categories Results email, they should be able to download their tsv of associated results without issue. Once the link is clicked and downloaded, the status of the request in DataGrail will reflect a Closed: Requester Downloaded state.

If a data subject requester attempts to download the link multiple times within that 7 day window, they will encounter an error. Due to security purposes, DataGrail does not allow this download link to be clicked multiple times. Additionally, if a data subject requester attempts to download the link outside of that 7 day window, they will be met with the following message:

For all requests where a data download link associated with a privacy request has expired (i.e. was not clicked and downloaded), the request will be automatically closed and reflect a Closed: Not Downloaded state.
